Privacy Policy
PromptFax is operated by Cogint Labs LLC. This policy explains how PromptFax handles information when you use the website to prepare, pay for, and send a fax.
Information We Collect
PromptFax is built for accountless fax sending. We collect the information needed to provide the service, including uploaded files, assembled fax pages, destination fax numbers, session identifiers, assistant or workflow chat messages, quote and delivery status, delivery reports, and technical logs.
Payments are processed by Stripe for Cogint Labs LLC, the operator of PromptFax. PromptFax receives payment status, transaction identifiers, and related authorization information from Stripe, but does not store your full card number.
How We Use Information
We use information to prepare your fax, calculate pricing, authorize payment, transmit the fax through our fax provider, show delivery status, create delivery reports, prevent abuse, debug failures, and operate the service.
Fax Documents and Destination Numbers
Uploaded files and assembled fax pages are temporary working files for the current fax workflow. Destination numbers are used to route the fax and to show status for the current session.
After a delivered fax has been materialized into a browser-local delivery report, PromptFax is designed to clear the active remote document association, active remote send-intent association, and stored provider preview dependency while keeping the local working copy available on your device for a limited time.
PromptFax does not claim to be HIPAA compliant. Do not use PromptFax where you need a regulated secure-fax agreement, a business associate agreement, or emergency communications.
Sharing With Service Providers
We share information with service providers as needed to run PromptFax, including cloud hosting and storage providers, Stripe for payment processing, fax transmission providers, logging and monitoring systems, and security or abuse-prevention tools.
Local Storage and Cookies
PromptFax uses browser local storage, session storage, IndexedDB, and provider cookies or scripts to keep your accountless session working, remember the current workflow, retain local editable pages and delivery reports for a limited time, support payment authorization, and clear local data when requested.
Retention
PromptFax is designed around temporary accountless sessions. Remote server-side working files and active session associations are intended to be short-lived and cleaned up automatically when they are no longer needed for the fax workflow.
Browser-local editable pages, delivery reports, and related local session data may remain on your device for up to 24 hours after last activity unless you clear them sooner. Some operational logs, payment records, assistant or workflow message records, delivery records, and provider records may remain longer where needed for security, debugging, accounting, compliance, or dispute handling.
Your Choices
You can use the visible clear-data flow to remove the current browser session data. For privacy or deletion requests, contact support@promptfax.app. We may need enough information to locate the relevant session, payment, or transmission record.
Changes
We may update this policy as PromptFax changes. The effective date above shows when this version took effect.
